Keep your EHR and practice systems reachable
Most EHRs are cloud-hosted now, but that does not make the rest of your office disappear. Your internet, Wi-Fi, workstations, browsers and any local servers still have to work together. Some practices also run a local server for billing, an older EHR, or a lab or imaging interface.
- We work with your EHR and software vendors on upgrades, server moves and problems that fall between their product and your hardware, so your office manager isn’t stuck in the middle.
- We monitor your internet, firewall, Wi-Fi and any on-site server so we can start working on problems before they become a front-desk interruption.
- We set up a backup internet line through carrier partners like Great Plains Communications, so a cut fiber line doesn’t stop check-in, e-prescribing and claims.
- We patch workstations on a schedule that stays out of clinic hours.
Exam rooms, front desk and shared workstations
Shared workstations create their own problems in a clinic. Label printers, card scanners, signature pads and dictation equipment all have to work with the computer in front of the staff member.
Individual logins, with screen locking that fits how your staff move between rooms, instead of one shared account everyone knows.
We document the setup in each room so a failed PC can be replaced without someone having to remember which printers, scanners and other devices were connected to it.
A hardware lifecycle report shows which machines are aging, out of warranty or on a Windows version that no longer gets security updates, so replacements go into the budget instead of surprising you.
Backups that are tested before you need them
Backups of any on-site server and shared files, with a copy kept off-site.
Backups of Microsoft 365 email and files. Microsoft keeps deleted items for a limited time, which isn’t the same as a backup you control.
Regular test restores, so we know the backups work.

Protecting patient information
For medical and dental offices, we help put the technical safeguards HIPAA calls for in place and keep them maintained, alongside your compliance advisor.
That means putting practical controls around the ways practices usually get hit:
- Multi-factor authentication on email, remote access, and the EHR where it’s supported.
- Email filtering to catch phishing and look-alike messages before they reach staff.
- Endpoint protection on every workstation and laptop, with laptops encrypted in case one is lost.
- Prompt removal of access when someone leaves the practice.

If patients cannot get through to the front desk, the problem quickly becomes a patient-service problem. We set up cloud-based phone systems with call routing for the front desk, scheduling, a nurse line and your after-hours answering service. You keep your numbers (we handle the number porting), and staff can take calls from a laptop or cell phone with the phone apps.
Separate patient Wi-Fi from clinic systems
Patient guest Wi-Fi kept off the network your EHR and staff computers use.
Medical devices and other equipment that can’t be updated often kept on their own part of the network, where the equipment allows it.

Do you support our EHR software?
We support everything your EHR depends on: the workstations, network, internet, any on-site server and the backups. Your EHR vendor still supports the application itself. When a problem sits between the two, we work it out with the vendor directly so your staff don’t have to.
How do you handle patient data security?

Our monitoring alerts us, and our goal is a first response within 30 minutes during business hours. A backup internet line lets the office keep working while the main line is repaired. If something needs hands on hardware, we come on-site.
