IT services for Omaha CPA and accounting firms
Cambium Data is an Omaha IT company that keeps CPA and accounting firms running through tax season and all year: the workstations your tax software runs on, Microsoft 365, secure client file exchange, remote access and tested backups. We also help put the technical pieces of your written information security plan in place alongside your advisor.

An accounting firm can’t pick when its technology fails. If the tax software won’t open, the file server is slow or an owner can’t get in from home during the second week of April, the cost is billable hours and client trust, all at once. And your firm holds exactly the information criminals want: Social Security numbers, bank details and full tax returns.
We keep a firm’s technology working all year, so tax season is busy for the right reasons, and we help you answer the security questions that now come from the IRS, the FTC and your cyber insurer.
Ready for tax season before it starts
Most firm IT problems are predictable, which means most of them can be handled in the fall instead of in March. Before the season, we:
- Check every workstation, laptop and server, and replace or repair what won’t make it through April.
- Schedule updates for your tax and accounting software with your team, so nothing changes during your busiest weeks without warning.
- Test remote access for everyone who’ll work late or from home, before they need it.
- Run a test restore of your client files and tax data, so we know the backup brings them back.
- Clean up Microsoft 365 accounts: seasonal staff added with their own logins, and old accounts shut off.
During the season, patching runs on a schedule that stays out of your working hours, and your team calls one local number for help. Our goal is a first response within 30 minutes during business hours.
Secure client file exchange
Clients still email W-2s, bank statements and signed returns as attachments, and staff still reply with full returns. Every one of those emails is a copy of sensitive data sitting in two inboxes. We set up a secure way to send and receive client files, using Microsoft 365 or the client portal your firm already uses, and set sharing rules so files go only to the people who should have them. Then we help your staff make it the normal way to work, so the email attachments stop.
Microsoft 365, email and accounts
Email is where most firm security problems start. We give every person their own login with multi-factor authentication, filter email for scams and fake invoices, keep licensing clean, and remove access the day someone leaves, including seasonal staff. Microsoft keeps deleted items for a limited time, which isn’t the same as a backup you control, so we back up Microsoft 365 email and files too.
Remote access that works on deadline night
Firm owners review returns from home, staff work late from a laptop, and some firms run a second office. We set up secure remote access with multi-factor authentication, encrypted laptops, and a firm network that keeps client data separate from guest Wi-Fi. When someone can’t connect at 9 p.m. in April, the fix shouldn’t depend on one person who happens to know how it was set up, so we document it.
Backups that have been tested
We back up your file server or cloud storage, your tax and accounting data and Microsoft 365, keep a copy off-site, and run regular test restores. A backup job that says “success” isn’t proof. A file we’ve actually restored is. If ransomware or a failed server hits during the season, the question is how many hours of work you lose, and tested backups are what keep that number small.
Your written information security plan (WISP)
Under the FTC Safeguards Rule, tax and accounting professionals are treated as financial institutions, and the IRS reminds tax professionals that they’re required to have a written information security plan, often called a WISP. The IRS publishes a free template for smaller practices in Publication 5708.
Much of a WISP describes technical safeguards: who can get into what, multi-factor authentication, encryption, backups, monitoring and how you’d respond to an incident. We help put the technical pieces in place alongside your advisor. Your advisor and your firm own the plan itself. We set up and maintain the technology it describes, and tell you in plain English what’s in place so your plan matches reality.
Cyber insurance questionnaires
Renewal applications ask about multi-factor authentication, backups, endpoint protection and email security, and a wrong answer can cause problems later. Our Cyber Insurance Readiness help walks through the technical questions with you and puts missing controls in place. We don’t sell insurance, and your insurer decides what’s covered.
Law offices, financial advisors and insurance agencies
Other professional offices have the same core problem: confidential client files, deadlines that don’t move, and a small team without an IT department. The same setup fits them:
- Law offices: secure document sharing with clients, remote access for attorneys, email security, and tested backups of case files.
- Financial advisors: multi-factor authentication everywhere, encrypted laptops, and secure client file exchange. Your compliance team owns the policies; we set up and maintain the technology underneath.
- Insurance agencies: a reliable network and phones for the front office, email filtering, and backups of client files.
If your office isn’t an accounting firm, the free technology and AI review works the same way.
Fully managed or co-managed
Most firms with no IT person want fully managed IT: we become your IT department. Larger firms with an IT person, or an owner who handles the technology, often want co-managed IT: your person keeps the job, and we take the pieces they want help with. Our managed vs co-managed IT guide explains the difference. See managed IT in Omaha for pricing.
Questions to ask before tax season
When was our last test restore, and what did it bring back? If nobody knows, that’s the first thing to fix.
Does every login, including remote access and email, use multi-factor authentication? Insurers ask, and it’s one of the technical safeguards we help put in place alongside your advisor.
How do clients send us documents today? If the answer is email attachments, there’s a better way.
Who removes access when seasonal staff leave? It should be the same checklist every time.
Does our WISP match what’s actually set up? A plan that describes controls you don’t have doesn’t help anyone.

Accounting firm IT questions
Does Cambium Data support our tax and accounting software?
Your software vendor still supports the application itself. Cambium Data supports everything it runs on: the computers, servers, network, Microsoft 365, remote access and backups. When a problem falls between the software and your hardware, we work it out with the vendor directly, so your staff can get back to returns instead of sitting on hold with two support lines.
How can an accounting firm keep IT problems from disrupting tax season?
Do most of the work in the fall. Cambium Data checks and replaces aging computers, schedules tax software updates with your team, tests remote access for everyone working late or from home, and runs a test restore of your client data. During the season, patching stays out of your working hours, and your team calls one local Omaha number for help.
Do tax preparers really need a written information security plan?
Yes. Under the FTC Safeguards Rule, tax and accounting professionals are treated as financial institutions, and the IRS reminds tax professionals that they’re required to have a written information security plan. IRS Publication 5708 is a free template for smaller practices. Cambium Data helps put the technical pieces in place alongside your advisor, and your firm owns the plan itself.
What is the safest way for clients to send tax documents to our firm?
Not email attachments, which leave copies of tax documents sitting in two inboxes. Cambium Data sets up a secure way to send and receive client files using Microsoft 365 or the client portal your firm already uses, with sharing rules so files only go to the right people, and helps your staff make it the normal way to work.
Can an IT company help with our cyber insurance renewal?
Yes. Renewal applications ask about multi-factor authentication, backups, endpoint protection and email security. Through Cyber Insurance Readiness, Cambium Data goes through those technical questions with your firm and helps put anything missing in place before you sign. We don’t sell insurance, and your insurer decides what’s covered, but you’ll know what’s actually set up.
Does Cambium Data work with law offices, financial advisors and insurance agencies?
Yes. Law offices, financial advisors and insurance agencies in Omaha need the same things accounting firms do: confidential client files kept safe, reliable remote access, email security and tested backups. Cambium Data sets those up the same way for any professional office, and the free technology and AI review is the easiest way to see what your office needs first.
What is Cambium Data’s free technology and AI review?
The free technology and AI review starts with a short call and a quick look at your setup. After the call is set up, we ask for your recent internet, phone, Microsoft 365 and IT bills. Cambium Data comes back with what isn’t protected and what we’d fix first, in plain English. It’s free, there’s no obligation, and you keep the written summary whether or not you hire us.
